Roles and Responsibilities

The following list is a draft list of roles and responsibilities for officers and committee chairs of WAPA. This is not a list of specific tasks that are the sole responsibility of the named title, but is a list of responsibilities that the person filling the position either delegates or ensures are completed as part of the role.

Officers and committee chairs are asked for a commitment to ensure that these responsibilities are met through the length of their term of office. This list will be refined and will be placed into effect as of the May 2005 elections.

Officers:

President

  • Establish agenda for meetings
  • Run Meetings
  • Call periodic board meetings
  • Ensure that everyone meets their responsibilities
  • Set overall direction and priorities for WAPA

Vice President

  • Backup for President
  • Follow-up on committee efforts
  • Other work as delegated by president.

Treasurer

  • Maintain finances and checking account
  • Keep separate books for operational account and scholarship account.
  • Keep membership status of paid members
  • Generate formal treasurers report for annual meeting
  • Quarterly financial updates
  • Maintain sufficient records to meet state and federal Tax reporting
  • Pay bills and reimburse ongoing expenses

Clerk

  • Publish Minutes of all meetings within 30 days
  • keep detailed membership roles including addresses
  • Follow up on lost e-mail addresses, address changes, etc.
  • Generate paper mail communications as requested by members
  • Quarterly membership updates
  • Generate proper notice for "Membership Meetings" per bylaws
  • File annual reports and board/officer reports with the state.
  • Mail membership renewals
  • Schedule hall for regular monthly meetings

Committee Chairs:

Safety

Safety Seminars

  • Communicate with membership to determine interested topics
  • Cordinate with FAA and other authorities
  • ensure coordination of safety seminars
  • ensure food, refreshments at seminars
  • enlist assistance to coordinate seminars at other location

Event Safety

  • Review plans for all other WAPA sponsored events to ensure generally safe activities for all event participants.

Scholarship

  • Propose eligibility for scholarship
  • Coordinate review of applications
  • Generate publicity for event

Activities

  • Coordinate or delegate coordination of regular WAPA activities
  • Arrange activities as desired by the membership
  • Possible ativies include
    • Fly-out to sites of interest
    • Annual pancake breakfast coordinated with ORH Young Eagles event
    • Annual holiday / winter party
  • Review event plans with Safety Committee

Young Eagles

  • Coordinate 3-4 Young Eagles events per year
  • Arrange pilots and publicity for the event
  • Communicate with membership ensuring that everyone is on-board
  • Enlist other members to assist in activities
  • Ensure paperwork is filed appropriately with EAA
  • Coordinate / communicate with facilities involved in the event
  • Review planning with Safety committee

Outreach

Publicity

Other Roles:

Webmaster

  • Run or arrange for hosting of web, e-mail.
  • Moderate closed lists such as the "announce" lists
  • Maintain proper security of the web, e-mail and other electronic communications
  • Communicate with membership to ensure that WAPA needs are met by the web systems.
